Test one
It repeats about weekly
At least four times a month, every month. Under that, the automation spends more of your attention than the task does. A quarterly report is not an automation problem, it is a calendar reminder.
The question every vendor page dodges
Usually no. Most small businesses should not pay anyone yet, because the jobs they want to buy are already inside software they pay for or available free: many VoIP and CRM plans already include missed call text back, Make gives 1,000 credits a month free and Zapier has a free plan, and any competent writer can rewrite a page so ChatGPT can quote it. Check those first, at $0. Paying someone is right only when the task repeats about weekly, the process has settled, and the outcome is worth more than the build. When it is, the honest 2026 range in San Antonio is $3 to $15 a month in raw carrier cost to run it yourself, $250 once for a workflow built in your own accounts, $250 a month for an AI receptionist that answers live calls, $500 flat to rewrite one page for AI search, and $999 flat for a full assessment. Vendors selling the same outcomes by subscription charge $20 to $800 a month, and AI search agencies charge $1,550 to $8,000 a month. Every number on this page was verified against the seller's own published pricing on 30 and 31 August 2026.
The test
Pay someone when three things are true at the same time: the task repeats at least weekly, the process has settled so you are not automating a draft, and the yearly cost of doing it by hand is more than the one time build price. If a job comes up twice a month, do it by hand. If you changed the steps in the last 60 days, wait until they stop moving. If a $250 build will not save you more than $250 of work in a year, it is not the thing to fix first.
Test one
At least four times a month, every month. Under that, the automation spends more of your attention than the task does. A quarterly report is not an automation problem, it is a calendar reminder.
Test two
You have not changed the steps in about 60 days. Automating a process you are still redesigning means paying to build it twice. Write the steps down by hand first and run them for a month.
Test three
What the task costs you over a year has to exceed the one time price. Twenty minutes a week is about 17 hours a year, which clears a $250 build for most owners. Twenty minutes a month does not.
One table, every real number
The floor is $0 a month, because many VoIP and CRM plans already include missed call text back and both Make and Zapier have free tiers. Running it yourself on raw carrier pricing is $3 to $15 a month, and paid automation plans are $12 to $69 a month. Vendors who sell the finished outcome charge $20 to $800 a month, and AI search agencies charge $1,550 to $8,000 a month with one time audits at $1,500 to $5,000. I charge $250 once per workflow plus an optional $50 a month, $250 a month for the AI receptionist, $500 flat per page for AI search, and $999 flat for the assessment. The first review is free.
Every row above the highlighted ones is somebody you could pay instead of me, and the top two cost nothing at all. Most pages answering this question are published by the companies in the middle rows, which is exactly why none of them start with the free options.
| Option | Which job | Typical price | What you are actually paying for |
|---|---|---|---|
| Turn on what your plan already includes | Missed calls | $0 | Many VoIP and CRM plans ship missed call text back as a feature you already pay for and have never switched on. Ask your provider before you pay anyone, including me. If they have it, the right answer is to turn it on and stop reading. |
| Free automation tier | Workflows and documents | $0 | Make gives 1,000 credits a month free and Zapier has a free plan. One confirmation email, one reminder text, or one simple document path fits inside either. Costs you a weekend and some frustration instead of money. |
| Raw carrier cost, nothing else | Missed calls | $3 to $15 / mo | A Twilio number is $1.15 a month. Each text is roughly $0.008 plus carrier fees of about $0.003 to $0.0065, so a shop missing 40 calls a month pays well under a dollar in messages. Add A2P 10DLC registration at $4 one time plus a small monthly campaign fee. Nothing else is included, because there is nothing else. |
| Paid automation plan Make Core, Zapier Team |
Workflows and documents | $12 to $69 / mo | Make Core is $12 a month and Zapier Team is $69 a month. More runs and more steps once one workflow has proved itself. You still build it and you still own it. |
| Standalone missed call text back tool | Missed calls | $20 to $100 / mo | The same text you could send yourself, wrapped in a dashboard and a support desk. Reasonable if you never want to touch settings and want somebody to call when it breaks. |
| AI answering service | Missed calls | From about $25 / mo | The AI answers before the call is ever missed. Genuinely better than a text back when your call volume is high and the questions are predictable. Check the per minute overage, because the headline is rarely the total. |
| Self serve AI visibility tool | AI search | $29 to $489 / mo | Tracks whether ChatGPT and Gemini mention you, and suggests fixes. You still do the rewriting yourself. Useful once you have something worth tracking, wasted before that. |
| AI agent platform | Missed calls | $200 to $800 / mo | Full voice agents with routing and escalation. Built for call volume most local shops do not have. |
| CRM and reputation suite GoHighLevel, Podium, Birdeye and similar |
Missed calls, workflows | $300 to $500 / mo | Missed call text back bundled with reviews, payments and a CRM. You are buying the suite, not the text. Fair value if you will use all of it, expensive if you wanted one reminder text. |
| AI search agency | AI search | $1,550 to $8,000 / mo | The cheapest named local package is $1,550 a month. Mid market retainers run $3,000 to $8,000 a month, and enterprise engagements run $10,000 to $25,000 or more per month. A one time audit on its own is commonly quoted at $1,500 to $5,000. |
| ME: first review or page score | Deciding what to do first | $0 | I look at one workflow, or score one page against the seven AI search checks, and tell you the two biggest gaps. Free, and it regularly ends with me telling you to switch on something you already own. |
| ME: one workflow or document build | Workflows and documents | $250 once + optional $50 / mo |
One path mapped, built inside your own accounts, tested on your real work, and handed over with the logins. You pay Make or Zapier directly at their own rate, which is $0 on the free tier. The $50 is me on call for changes and fixes, and it is optional: skip it, own it outright, and pay me hourly only if something breaks. Cancel any month. |
| ME: AI receptionist that answers | Missed calls | $250 / mo | The fuller build. It picks the call up instead of texting afterwards, asks your questions, and texts you the summary. Monthly because the AI minutes cost real money on every call. No setup fee, cancel any month. |
| ME: page rewrite for AI search | AI search | $500 flat $1,500 up to five |
One time, no retainer and nothing monthly. Includes the audit, the rewrite, the schema markup, verification on your live site, and a cold logged out check in ChatGPT and Gemini. |
| ME: AI Tools Assessment | Deciding what to do first | $999 flat | Three to seven human verified recommendations, an effort versus impact matrix, a four day quick start, and a 30 minute review call. Implementation is quoted separately so you can price me against somebody else. |
Twilio carrier pricing verified against Twilio's published US pricing on 30 August 2026. The missed call tool, AI answering, CRM suite and AI agent platform ranges come from those vendors' own published pricing pages on 30 August 2026. Make, Zapier and the AI search agency figures were verified against those companies' published pricing pages on 31 August 2026. My own prices are current as of 5 September 2026 and are what I will actually charge you. Where a seller does not publish a real total, this page says not disclosed rather than guessing. Prices change, so check before you commit to anything, including mine.
The honest version
If one of these three is true, you will save money by closing this page right now. I would rather say it here than take your $250 and watch you regret it.
Reason one
Many VoIP and CRM plans include missed call text back, and most owners have never switched it on. Call your provider and ask before you call me. If they have it, turn it on and keep the $250.
Reason two
Fewer than about five missed calls a month, or a task that comes up twice a month, is not your bottleneck. Automating it will not move your revenue. Tell me what actually eats your week instead.
Reason three
I am one person in San Antonio. A $300 a month platform comes with a support line, an account manager, and somebody else to blame at 2am. That is a real thing to buy, and some owners should buy it.
The evidence
Each number above has its own page showing the full comparison, including the options cheaper than me. This page is the summary. These six are the working.
$3 to $15 / mo raw
The full Twilio arithmetic for missed calls, the $20 to $800 a month vendor ladder, and the $250 setup against the $250 a month receptionist that answers.
$250 per workflow
What one automation costs when you build it on a free tier, when you pay for Make or Zapier, and when you hire me to build it in your accounts.
$250 per document path
Repeated paperwork, priced against the $0 free tier, the $12 to $69 a month plans, and purpose built document platforms.
$500 flat per page
Getting cited by ChatGPT and Gemini, priced against self serve tools at $29 to $489 a month and agencies at $1,550 to $8,000 a month.
$999 flat
The paid diagnosis when you do not yet know which of the four is your problem. Names off the shelf tools you can buy without me.
$0 for the first look
Send one workflow or one page URL. I score it against the seven AI search checks and name the two biggest gaps. No charge and no obligation.
Proof, with the limits stated
Yes, twice, and here is the exact scope of both. On 30 August 2026 both ChatGPT and Gemini named my own business, RentWashersSA, first for cheap washer and dryer rental. ChatGPT ranked it above a competitor advertising $59.99 a month, because that competitor's real total is $66.71 once the service fee and tax land. Gemini listed genuinely cheaper options at $49.99 and $29.99 and still led with mine. That channel produced about 5 customers in August 2026, which is my own count of my own leads rather than an instrumented number. Separately, a local San Antonio auto shop ran the $250 a month AI receptionist on its real phone line, where it handled 48 calls from 40 different people between 17 and 31 August 2026.
The honest scope, so you do not have to guess at it. Those numbers cover 17 to 31 August 2026 and were pulled from the call platform, not from memory. Eleven of the calls ran over a minute. None of them were me testing it from my own cell. The shop pays $250 a month, has paid one month so far, and whether it renews is genuinely still open, which I would rather tell you than let you assume. My plan on that platform keeps only 14 days of history, so I will not quote you a lifetime total I cannot produce on demand. The shop stays anonymous because I never asked its owner for permission to name it. That is my entire record on this, and I am not going to dress it up.
A larger firm can show you a case study library. I can show you one phone line and one of my own businesses, and tell you exactly what happened on both, including what I cannot prove.
FAQ
Ask your current phone provider first, because many VoIP plans already include missed call text back and switching it on costs $0. If yours does not, the raw carrier cost is $3 to $15 a month: a Twilio number is $1.15 a month, each text is about $0.008 plus carrier fees of $0.003 to $0.0065, and A2P 10DLC registration is $4 one time plus a small monthly campaign fee. Standalone tools that wrap the same text in a dashboard charge $20 to $100 a month.
Yes, for most first projects. Make gives 1,000 credits a month on its free tier and Zapier has a free plan, both verified on 31 August 2026, and one confirmation email or one reminder text fits inside either. It costs you a weekend and some frustration instead of $250. If it works and you want more runs and more steps, Make Core is $12 a month and Zapier Team is $69 a month, and you still own and run it yourself.
Because the free tier costs you a weekend and a build you then have to maintain. I charge $250 once to map one workflow, build it inside your own accounts, test it on your real jobs, and hand you the logins, plus an optional $50 a month if you want me on call for changes. The $50 is genuinely optional: skip it, own the workflow outright, and pay me hourly only if something breaks. If your weekend is worth less than $250 to you, build it yourself, and I will tell you so on the call.
Self serve AI visibility tools run $29 to $489 a month. The cheapest named local package is $1,550 a month. One time AI visibility audits are quoted at $1,500 to $5,000, mid market retainers run $3,000 to $8,000 a month, and enterprise engagements run $10,000 to $25,000 or more per month. I charge $500 flat for one page and $1,500 for up to five pages, one time, with no retainer. All of those agency figures were verified against those companies' published pricing pages on 31 August 2026.
Every number on this page names a source and a date, and all of them were verified against the seller's own published pricing pages on 30 and 31 August 2026. My own prices are what I will actually charge you, and they are the same numbers published on the five service pages linked from this page. Where a competitor does not publish a real total, this page says not disclosed rather than guessing, because a guessed number is worth nothing to you.
Next step
Describe the process, or send me a page URL. The first review is free, and it ends one of three ways: switch on something you already own, build it yourself on a free tier, or hire me. I will tell you which one, and I will tell you when it is none of them.
